Volunteer Position Title: Treasurer, Board of Directors

Summary

Keep full and accurate accounts of all receipts and disbursements in proper books of account using QuickBooks. Deposit all moneys, or any other funds, to the credit of the Royal Bank of Canada account. Disburse funds as required, under the direction of the Board of Directors. Report on all transactions and keep the Board of Directors updated on the current financial position of the corporation on a regular basis. Ensure strict compliance with Canada Revenue Agency (CRA) guidelines and that the board meetsall fiduciary duties.

Duties and Responsibilities:

  • Track and enter, all deposits, donations and other credits to the bank account.
  • Reconcile donor platforms including PayPal, PayPal Giving Fund, Canada Helps, Canada Online Giving Foundation, United Way, Zeffy, sending thank you notes via email, where applicable.
  • Pay bills, prepare cheques and disburse funds in a timely manner as required, ensuring all transactions are supported by an invoice, receipt or voucher.
  • Prepare monthly bank reconciliations for all bank accounts and credit cards.
  • Prepare monthly reports including a Budget Report, Bank Account Report and Income & Expense Report to be presented at the Board of Directors monthly meeting, or as required.
  • Coordinate preparation of yearly Financial Statements with the corporate accountants.
  • Prepare a yearly budget report in collaboration with the board.
  • Serve as a primary signing officer for the bank account and manage the credit card
  • Responsible for annual review and renewal of insurance policies.
  • Prepare and mail out official Donation Tax Receipts and Thank You Letters for all individual donations received.
  • Chair, Co-Chair or sit on all Committees that require financial decisions to be made including Heads Up, the Annual Conference.
  • Monitor all fundraising activities to ensure all rules comply with CRA guidelines
  • Maintain the Head Office of the Corporation including receipt of all incoming mail.
  • Prepare and monitor Eventbrite Registrations for all events
  • Work with the Board of Directors to plan and support fundraising elements of CANAAF’s annual national summer conference.
  • Attend the annual national summer conference in the Greater Toronto Area.

Qualifications and Requirements:

  • Approximately 15–20 volunteer hours per month.
  • Minimum 2 years of experience in fundraising, donor relations, or nonprofit development (professional or volunteer experience).
  • Excellent communication, interpersonal, and organizational skills.
  • Creative, self-motivated, and detail-oriented.
  • Comfortable working within a budget and managing multiple priorities.
  • Capable computer skills (Microsoft Office, Google Workspace, or equivalent).
  • Awareness of current fundraising methods and trends.
  • Willingness to plan, organize, and participate in a variety of CANAAF initiatives.
  • Personal connection to alopecia areata is an asset.
  • Commitment to CANAAF’s mission, values, and policies.
